How to connect email account to Microsoft Outlook 2019 (Office 365)

In this tutorial, you’ll learn how to create a mailbox in the DirectAdmin control panel and connect it to Microsoft Outlook. We’ll show detailed steps for correctly entering IMAP/POP3 and SMTP settings in your mail client.


Creating the mailbox

Log in to the DirectAdmin control panel, then go to E-mail Manager > E-mail Accounts and add a new mailbox with the "Create account" button.

Enter the mailbox username, password, and mailbox quota (Mailbox size limit (MB)). If you set the value to 0 (zero), the mailbox size will be unlimited.

IMPORTANT: For security reasons, if the password consists only of lowercase letters, it must be at least 15 characters long. If the password is 10–15 characters, it must include at least one uppercase letter and at least one number.

Once all fields are filled in, click the "Create account".

The mailbox is created. The screen shows your login details and the information needed to configure your mail application.


To check the newly created mailbox, you can also use the webmail application in your browser, which requires no additional configuration


Microsoft Outlook 2019 mail configuration

Open the application, choose "File", and click "+Add Account".

Enter your email address, click "Advanced options", check "Let me set up my account manually", then click "Connect":

Choose the mail protocol you will use - POP3 or IMAP. We recommend IMAP so that messages are stored on the server.

Enter your mailbox password and click Connect.

After Outlook attempts to detect the settings, you may see a message about a mismatch between the server name and your domain name. Click "No" so you can enter the server name yourself.

To correctly configure the mailbox in Outlook, click "Change Account Settings".

All settings are usually correct except the "Incoming mail" and "Outgoing mail" server names. We still recommend reviewing all settings to ensure everything is correct:

"Incoming mail" section:

  • Server: sh01.rfox.cloud - the server where your hosting plan is set up
  • Port: 993 (if you chose IMAP) or 995 (if you chose POP3)
  • Encryption method: SSL/TLS
  • Do not check "Require logon using Secure Password Authentication (SPA)"


"Outgoing mail" section:

  • Server: sh01.rfox.cloud - the server where your hosting plan is set up
  • Port: 465
  • Encryption method: SSL/TLS
  • Do not check "Require logon using Secure Password Authentication (SPA)"


After entering the required parameters, click Next.

Re-enter the mailbox password and click "Connect".

When the mailbox is configured, click "Done":
